Workflows

Workflows are on the Business plan. A workflow is a path you draw: something happens on a claim, conditions branch, and each branch does the next step. Auto-approval rules on Plus are a single match. A workflow can ask, wait for the answer, and then resolve.

Build one​

  1. Open Workflows and create a workflow. New ones stay off until you turn them on.
  2. Start from a trigger, such as a claim being created.
  3. Add a condition. Example: order total over your review limit goes to a person; everything else can be refunded.
  4. Add the action for each branch.
  5. Use Arrange if the canvas is hard to read.
  6. Turn the workflow on only after a test claim follows the branch you expect.

Open a workflow's runs to see which claims entered it and which step failed.

Actions you can add​

  • Update the status, resolve, reject, reopen, or archive
  • Refund, create a replacement order, create a return, issue a gift card, issue a discount code, or add store credit
  • Send an email, add a comment, set priority, or assign the claim
  • Tag the claim, the order, or the customer
  • Ask the customer a question, with a branch for each answer
  • Send an offer and branch on what they reply
  • Void, extend, transfer, or email about a warranty

Store credit still needs a real customer on the order. A claim with no customer should use a gift card or a discount code instead.

When to use a workflow instead of a rule​

Use a rule when the decision is one outcome: approve this small damaged item. Use a workflow when the path changes, for example:

  • Under a limit, refund automatically.
  • Over the limit, assign it and ask for a photo.
  • If the customer asks for store credit, issue that instead of the refund.
